Please read these booking conditions carefully, they are an important part of your contract for your activity. These conditions of booking and information on this website set out the terms on which you contract with us. They shall be governed by and construed in accordance with English law, being subject to the jurisdiction of the Courts of England and Wales. No variation shall be of any effect unless in writing and by the authority of us.

Simply:
English law applies.

1. Simply:

You pay in three equal instalments - on booking, at 90 days, and at 65 days before departure. All are non-refundable except as set out in clause 7.

1. You pay in three instalments

Before you book we will agree the services you require, the time, the place and the cost. Once agreed, you must accept on behalf of all of your party the terms of these booking conditions and make your first instalment payment (typically one third of the total cost). The contract is made between us when your first instalment is received. The overall cost is split into three equal instalments: the first on booking, the second due 90 days before the Adventure, and the final balance due 65 days before the Adventure. Cancellation charges apply as set out in clause 3, and in the unlikely event that we cancel, as set out in clause 7.

2. If you change your booking

If, after your booking has been confirmed (i.e. after your first instalment has been received), you wish to cancel or change your booking, the cancellation terms in clause 3 will apply.
In exceptional circumstances, and at our sole discretion, we may offer a transfer to a future Mountain Coach Adventure operated by your gym. Any such offer will depend on the timing of your request and the availability of a suitable future Adventure. No transfer is guaranteed.

2. Simply:

Changes are treated as a cancellation - see clause 3. In exceptional cases we may be able to move you to a future adventure, but this is at our discretion and not guaranteed.

3. Simply:

If you cancel, a charge applies - from one third of the total price at the earliest stage, rising to 100% within 65 days of departure. These reflect real costs committed and services delivered, not penalties. Make sure your travel insurance covers this.

3. If you cancel your booking

If you, or any member of your party, need to cancel your booking, you must notify us in writing (email is fine). Cancellation charges are calculated as a percentage of the total Adventure price, based on the date we receive your written notice. These charges reflect the reality of our model: your Adventure pathway begins at the point of booking, and by the time you cancel, costs will have been committed and services delivered on your behalf — including UK Mountain Conditioning Days, training support, content, and Alpine logistics. The charges below are not penalties; they represent the value already invested in your journey:

  • Cancel more than 90 days before the Adventure: 33% of the total price

  • Cancel between 90 and 65 days before the Adventure: 67% of the total price

  • Cancel within 65 days of the Adventure: 100% of the total price

We strongly recommend that your travel insurance covers cancellation charges of up to the full Adventure price.

4. Rights of admission

We reserve the right to refuse a booking or remove a person from an activity if their conduct is likely to cause distress, damage or annoyance to others, or if they have failed to disclose a medical condition or disability at the time of booking that would affect their ability to participate fully. In such cases we cannot be held responsible for any costs incurred, and cancellation charges of 100% will apply. Smoking is only permitted where it does not cause distress to others and where there is no significant fire risk.


Mountain Coach Adventures take place in serious mountain terrain and require adequate physical fitness. The lead guide reserves the right to ask any member to discontinue participation if, in their sole judgement, that member's pace or fitness is placing themselves or the group at risk. In such cases no refund will be due.

4. Simply:

Disclose medical conditions at booking. Behave respectfully. Our Adventures take place in serious mountains - if our guide judges that your fitness is placing you or the group at risk, you may be asked to stop. Failure on any of these counts may mean removal with no refund.

Things may change, but that’s part of the adventure!

5. Accuracy

The information given on this website and in other presentations and materials about dates, times and itineraries has been carefully checked and we believe it is correct at the time of publication. We reserve the right to make changes and where they occur we will tell you as soon as we are aware. Descriptions are provided by us in good faith and every care is taken to ensure accuracy. Between publication and your activity, changes can and do occur. We feel it is right to let you know that advertised facilities may be subject to change by the various suppliers concerned. There may be occasions when an advertised facility is not available during your Adventure. This may be due to insufficient numbers, weather, operational or maintenance reasons.

6. If we alter your activity

From time to time, and for reasons including but not limited to weather, local conditions, access restrictions, supplier failure, or safety considerations, we may need to alter rather than cancel an activity. Where possible, we will advise you of any alteration before departure, but we are not obliged to do so, because it's not always possible. The decision of the lead guide on all matters of safety - including route selection, summit attempts, and whether conditions are suitable to proceed - is final and binding. We accept no liability and will pay no compensation for alterations made necessary by adverse weather conditions, avalanche risk, trail closures, or any other circumstance beyond our reasonable control. An alteration does not entitle you to a refund.

6. Simply: Things may change due to weather, conditions or safety. Our guide's call is final. No compensation for changes outside our control.

7. Simply:

We'll do our best to deliver your full Adventure Pathway. If we cancel the Alpine Adventure for reasons within our control, you'll receive a refund of the cancellation charge applicable at that point, less the value of services already delivered across your pathway. If it's Force Majeure - extreme weather, supplier failure, natural disaster, or FCDO travel advice - no refund is due. This is why we require you to hold valid travel insurance.

7. If we cancel your activity

We make every endeavour to deliver all elements of your Adventure Pathway. In the extremely unlikely event that we have to cancel the final component of the Alpine Adventure for reasons within our control, a refund of the cancellation charge applicable at that point will be made, less the value of services already delivered across your pathway, including UK Mountain Conditioning Days, training support, and programme content. No refund will be due where cancellation results from Force Majeure. For the purposes of these booking conditions, Force Majeure means any event beyond our control or that of our suppliers, the consequences of which could not have been avoided even if all reasonable measures had been taken. This includes, but is not limited to: war or threat of war, terrorism, civil strife, riots, industrial disputes, natural disaster, fire, epidemic or pandemic, extreme or adverse weather conditions, avalanche or other mountain hazard, closure or restriction of access routes, failure or insolvency of a key supplier, fuel shortages, or travel disruption arising from geopolitical events. Advice from the UK Foreign, Commonwealth and Development Office (FCDO) to avoid or leave the destination country or region will also be treated as a Force Majeure event.

8. Our responsibility

We recognise that adventurous activities have a danger of personal injury or death. Participants in these activities should be aware of and accept these risks and be responsible for their own actions. Other than as set out above, and as is detailed elsewhere in these conditions of booking, we shall have no legal liability whatsoever to you for any loss, damage, personal injury or death which you suffer arising directly or indirectly from any aspect of any activity arrangements booked with us.

8. Simply:

Adventurous activities may lead to personal injury or death. You accept these risks. Please be careful.

9. Simply:

We don’t take those aged under 18 years unless accompanied by a parent or legally appointed guardian.

9. Parental responsibility

Mountain Coach Ltd's Adventures are typically for members aged 18+. In the event that it has been agreed that young adults can join, then their parent(s) or legally appointed guardian undertakes to accept full responsibility for and supervision of their children at all times, especially in relation to Safeguarding.

10. Insurance

Mountain Coach is responsible for delivering the Adventure from the agreed start point only. If you are unable to reach the start point for any reason, including flight cancellation or travel disruption, Mountain Coach bears no liability and no refund will be due. Adequate and valid travel insurance is compulsory and is a condition of booking. Your policy must cover mountain trekking at the altitude of your specific Adventure, including emergency evacuation and rescue. We also strongly recommend that your policy covers trip cancellation arising from circumstances beyond our control, as no refund will be due in the event of a Force Majeure cancellation as set out in clause 7. We recommend you research travel insurance options before making your first instalment payment, to ensure adequate cover is available to you.

10. Simply: Getting to the start point is your responsibility. You must have travel insurance covering mountain trekking at your Adventure's altitude, including rescue and trip cancellation.

11. Simply:

We’ll try and deal with any complaint quickly and amicably.

11. Complaints

If you have a complaint ahead of your final Alpine Adventure, please notify us via our contact details on this website. If you have a complaint during the final Alpine Adventure, you must notify our Guide immediately and they will do their best to resolve the problem. Should it not be possible to resolve your complaint there and then, you should write (email) us. This must be received no later than 28 days after your activity. All complaints that are received are thoroughly investigated and participants are kept informed. Sometimes investigations can take time, especially when awaiting a response from suppliers. We aim to settle all complaints amicably.
